These reports look at your entire budget, rather than only direct inputs.

Field Profitability: Plan / Actual

This Field Profitability Report takes all of your financial and activity data, and then shows the profitability by field.

Why use this report:

One quick glance will let you know your highest and lowest performing fields.

  • Plan: Results are based on the selected budget.

    • Revenue:

      • Planned - Acres from Field Plans.

      • Yield - Field Plan Metrics section.

      • Price - Marketing Plan, for that commodity.

      • Crop - Yield * Price.

      • Other - Other Revenue: Plan (proportionally by planted or field acres, including any Category Allocations).

      • Total - Adds up the Crop and Other columns.

    • Expenses:

      • Direct - Field Plan’s associated costs.

      • Land - Land Agreement: Plan. Category of Land Agreement must be a Direct Expense.

      • Indirect - Overheads: Plan (proportionally by planted or field acres, including any Category Allocations).

      • Owner - Owner Expense: Plan (proportionally by planted or field acres, including any Category Allocations).

      • Debt - Loans, Leases, and Line of Credit: Plan (proportionally by planted or field acres, including any Category Allocations).

      • Total - Adds up the Direct, Land, Indirect, Owner and Debt columns.

      • Net Margin After Debt - Total Revenue minus Total Expenses.

  • Actual:

    • Revenue:

      • Field - Acres from Field Setup (rounded).

        • Planted

      • Yield - Delivered Field Weights

      • Price - Contracts

      • Crop - Field Setup

      • Other - Other Revenue: Actual (proportionally by planted or field acres, including any Category Allocations).

      • Total - Adds up the Crop and Other columns.

    • Expenses:

      • Direct - Activity Tickets.

      • Land - Land Agreement: Actual. Category of Land Agreement must be a Direct Expense.

      • Indirect - Overheads: Actual (proportionally by planted or field acres, including any Category Allocations).

      • Owner - Owner Expense: Actual (proportionally by planted or field acres, including any Category Allocations).

      • Debt - Loans, Leases, and Line of Credit: Actual (proportionally by planted or field acres, including any Category Allocations).

      • Total - Adds up the Direct, Land, Indirect, Owner and Debt columns.

      • Net Margin After Debt - Total Revenue minus Total Expenses.

  • Tips:

    • Each column in the results is sortable.

    • Select “Expand All” or the drop down next to the Field Name for Crop specific information, including Yield and Price.

    • Can Export to Excel or PDF.

    • There is a scroll bar at the bottom of the results page, so you can see all result columns.

    • If you have Category Allocations assigned, results will reflect that based on your filters

Marketing Plan

Filter by Crop Year and Budget to compare your expected harvest and revenue from your field plans to your contracted crop sales. This tool is used to evaluate how commodity price changes can impact breakevens. (See the “Annual Budget - Add Marketing Plan” section for more details.)

  • Additional filters include: Crop Type and Commodity

  • Add to Favorites to add this to your dashboard.

  • Exportable to Excel or PDF.

Crop Position: Actual

Filter by Crop Year and Budget to see an accurate crop revenue based on what was actually harvested using existing contracts and market price. It will also give an operational view into your inventory, so you can see how much grain is left to sell, what is the status of contracts and deliveries, and how many loads of grain have been delivered but not received payment for. (This is a similar view to the budget’s marketing plan.)

  • Additional filters include: Crop Type, Commodity, Entity, and/or Owner

    • You can select “Hide commodities w/o planted acres” to shorten your results to only relevant commodities.

Summary Section:

  • $/unit - Total Revenue / Total Harvested Units

  • Acres - Harvested acres equals the acres from Field Setup, for any field that has a destination ticket associated. (Matches the Dashboard - Harvest Widget)

  • Breakevens - A budget must be selected before generating the report for breakevens to calculate. It will total the actual Direct, Indirect, Owner, and Debt Service expenses divided by the yield from harvest acres or by acre. (Matches the Annual Budget-Overview and toggle on to include actuals.

    • Breakeven by Unit: Total Expenses / Total Yield

    • Breakeven by Acre: Total Expenses / Total Acres

  • % Settled - “Settled” Tons / “Total” Tons

  • Total (Harvested Units) = Delivered + Sold In Storage + Unsold In Storage + Delivery Tickets that do not have a corresponding delivery receipt or settlement ticket.

  • Settled - The amount that has a settlement ticket created. (Details are in the commodity details view.)

  • Delivered - The amount delivered, but not settled. (Details are in the commodity details view.)

  • Sold In Storage - Sold/contracted grain for a given crop year, not delivered or settled.

  • Unsold In Storage - Grain that was harvested but is not associated with a contract, delivery or settlement. This is your unsold grain that you would likely take to market.

  • Market Price - Click “Edit” to enter in the Market Price (Price, Basis, and/or Premium). Then, click “Save”. This will be used to price the unsold portion of their harvest or to estimate their basis and future contracts.

  • Revenues - The revenues, by bucket, will use either existing contracts or the entered Market Price.

  • Can click into each Commodity for detail.

    • The SOLD section takes the amount of commodity in Inventory against an open contract’s $/unit to determine the projected total Price.

    • Breakevens: (Actual Expenses = Direct + Indirect + Owner Expense + Debt Service. Yield = Total from Harvest Tickets).

      • Tip: If budget is not selected, breakevens will not appear on this report.

      • Breakeven by Unit: Total Expenses / Total Yield

      • Breakeven by Acre: Total Expenses / Total Acres

    • Market Price (click Edit to manual adjust. Coming soon: DTN Integration

    • Harvested (Total):

      • Sum of harvest tickets (Yield = Delivered +Sold + Unsold + Delivery Tickets that do not have a corresponding delivery receipt or settlement ticket.

      • Sum of harvest tickets / Harvested Acres

      • Price per Unit * sum of harvest tickets

      • Total Revenue / Sum of harvest tickets

    • Settled (Total): Uses Settlement Tickets

      • Sum of Settled Units

      • Sum of Settled Units / Harvested Acres

      • Sum of Settled Dollars

      • Sum of Settlement Units / Total Yield

      • Sum of Settled Dollars / Sum of Settled Units

    • Delivered (Total): Uses Delivery Receipts that are not Settled

      • Sum of Delivery Receipt Units

      • Sum of Delivery Receipt Units / Harvested Acres

      • Sum of Delivery Receipt Dollars

      • Sum or Delivery Receipt Units / Total Yield

      • Sum of Delivery Receipt Dollars / Sum of Delivery Receipt Units

    • Sold (Total: Sold In Storage): All of your sold/contracted grain for a given crop year. As you can see there is a total sold section and breakouts for each contract type supported in Conservis.

    • Unsold (Total: Unsold in Storage): Harvested in storage which exceeds contracts.

  • Pie Chart: The pie chart shows the overall makeup of revenue. Each section of the revenue table equates to a slice of the revenue pie chart.

  • Bar Chart: The bar chart shows the dollar amount settled each month for the selected crop year.

  • Contract Section:

    • This table shows all contracts and deliveries for the selected commodity & crop year. This table is automatically updated when contracts, delivery receipts and settlement tickets are created.

    • You can see each contract has a status and % complete. You can also filter this view by settled or unsettled. Which will help you quickly identify which loads haven’t been paid for.

    • The checkboxes on the side of each row allows growers to create and export a custom list of deliveries. For instance, you might want to export unsettled deliveries for a specific customer to follow up on payment.

  • Add to Favorites will add this to your dashboard.

  • Exportable to Excel or PDF.

  • Tip: This is also accessible from HARVEST>GRAIN REPORTS

Budget Summary

Showcase projections and actuals across multiple crop years, so lenders and stakeholders can get an accurate view of the operation.

  • The left and right columns show the budget for the respective crop years. The middle column shows the actual data for the previous crop year. By using Conservis, the actual data flows in automatically. Each section is expandable.

  • The format makes it easy to compare revenue & expenses across crop years. A good example of this is the Net Margin After Debt service section (bottom of the report). You can track profit and key ratios across two crop years as well as the actuals.

Budget Variance

A real-time budget vs actual report that gives growers a simplified view to see how they are tracking to plan within a crop year. This report highlights areas that are over budget or categories that are underperforming which will help identify risks before they become problems.

Profit & Loss: Plan / Actual / Variance

  • Plan: Based on your selected Crop Year and Budget, you can filter by Farm, Field, Crop Type, Entity, and/or Owner to see your Budgeted Net Margin, by month for a calendar year. You can drill down into each section to analyze data.

  • Actual: Based on your selected Crop Year and Budget, you can filter by Farm, Field, Crop Type, Entity, and/or Owner to see your Actual Net Margin, by month for a calendar year. You can drill down into each section to analyze data.

  • Variance: Based on your selected Crop Year and Budget, you can filter by specific Month, Farm, Field, Crop Type, Entity, and/or Owner to see your Year To Date Planned vs Actual Net Margin. You can drill down into each section to analyze data. The report will then show the Planned amounts for the remaining months of the calendar year

Profit & Loss: Month Comparison

Based on your selected Crop Year and Budget, you can filter by Farm, Field, Crop Type, Entity, and/or Owner to see your Actual vs Planned Net Margin and Variance, by month for a calendar year. You can drill down into each section to analyze data.

Cash Flow Forecast Report

The Cash Flow Forecast is a 12 month projection of cash inflows and outflows for a farm. This forecast can help you and your lender’s understand the cash needs for the crop year. Key data for this report: Operating Line (if applicable), and Purchase Plan(s) added to the selected budgets.

To use the Cash Flow Forecast Report:

  • Select Previous Year’s Crop Year and Budget

  • Select Current Year’s Crop Year and Budget

  • Select Operating Line

  • Enter Beginning Cash (if applicable). This will be added to the Operating Cash section of the report as a positive value in January.

  • Enter Minimum Cash (if applicable). This will populate the “Ending Cash” line and calculate the “Operating Loan Advances” that will need to be taken that year, under the Operating Cash section.

  • Click “Generate Report” button

  • Cash In: Represents the Previous and Current Year’s Crop Sales and Other Revenue populated from the selected budgets.

  • Cash Out: Represents the Previous and Current Year’s Direct (Field Plans & Land Costs) and Indirect Expenses (Overhead Plans) populated from the selected budgets. These totaled together is your “Total Operating Expenses”.

  • Owner Expense: Represents the Owner Expense Plans from the selected budgets.

  • Debt Service: Represents Loans and Leases

  • Total Cash In minus Total Cash Out = Net Cash Flow.

  • Operating Cash section will project the Operating Loan Payments and Advances needed, based on the Net Cash Flow. This will take Beginning Cash and/or Minimum Cash values entered earlier.

    • Click the refresh icon to override any entered data in the Plan Schedule section of the Operating Line.

Lender-Ready Packet

(only available with certain packages - contact your Regional Sales Manager for more information if this is not available with your current package)

The Lender Packet combines multiple documents together, using a Wizard to walk you through the steps. The end result is a packet that you can bring into a lender to show both your history, and your plan for the upcoming year.

To begin, go to Financials > Lender Packet > Create New.

Use the Lender Packet Wizard to pull together a packet that fits your needs - the system will guide you through each step.

  1. Cover Page - fill out with your Farm’s information and you can even add your logo.

  2. Select Budgets - Select your Previous Year and Current Year’s budget. (Tip: If this is your first year, just create a dummy budget for the previous year and we can exclude those reports from the packet.)

  3. Previous Crop Year - Select or Unselect reports for the packet. Add in any relevant notes about the plan or actuals from that year.

  4. Current Crop Year - Select or Unselect reports for the packet. Add any relevant notes regarding the plan.

  5. Preview & Finish - If all looks good, click “Export Packet”. This can be exported to a PDF.
