To get ready for a new year in Conservis, you will want to add the next crop year, update which fields will be planted, and update the system with accurate inventory counts among other things. Here's a quick list to get you started.
Step 1: Make the new Crop year the default
Go to SETUP > Settings and scroll down to hit the Edit button.
Change the Crop Year to the new year (ex. 2025). Remember to Save the change!
Step 2: Update Fields for the new Crop Year
Stay in SETUP > Fields
Once you change the default crop year, you can stay in settings and click "create records for 2025 Crop year" [or whichever year you are in] . It will move all your fields to the new crop year in one bulk edit. If you add more fields later, just come back to this step and create records again. It will only create records for fields that don't currently exist.
Step 3: Create any new Fields
Go to SETUP > Fields > New Field
(optional - only complete this step if you are adding fields this year).
If you will be adding any new fields, now is the time to add them to Conservis. Don't worry about assigning crops to fields yet. We'll do that later in the list.
Keep adding fields until all your fields are in Conservis.
Step 4: Update Users, Equipment, and/or Inputs
Go to SETUP > and select Users, Equipment, or Inputs from the Setup Menu, depending on what needs to be updated.
Add or deactivate equipment, inputs, and users so Conservis matches what you plan to have happen on the farm.

Step 5: Assign default Input Costs for the new crop year
Go to SETUP > Inputs
Conservis uses default costs for reports until an actual cost record is entered into the system. So having a default cost makes your reporting as accurate as possible all year long. This means you want to make sure your default input costs make sense for the new crop year.

Step 6: Build a Budget
Now you are ready to build your budget in Conservis.
Here's where the package you purchased makes a difference! Smaller packages don't include any budget or financial options, so if that is you, your menu will not have a tab called Planning or a tab called Budgeting. You can skip ahead to the next step, or reach out to your Regional Sales Manager to discuss upgrading to a different package.

If you see this tab in your platform, you can use the new Budgeting Wizard to create a budget.

Step 7: Assign Crops to Fields
Once you make your budget, it is time to assign crops to fields.
BUDGETING CUSTOMERS
Go to BUDGETING > Crop Plans & Budget and then select the budget you would like to use
If the budget you created is a field based budget, you can assign crops to fields in a single step once your budget is complete by clicking "Export to Field Setup".
All other Customers
Go to SETUP > Fields and then use the Assign Crops button to assign the correct crops to your fields quickly.

*For some operations, Conservis defaults to the same crop assignments as last year, so first check for 2024 crop assignments. You may need to clear out these default crops before assigning the actual crops. This video shows you how.
Step 8: Reconcile actual inputs inventory with your Conservis inputs inventory
For operations that use Conservis to track inputs inventory, you need to match the inventories you have in Conservis with what you have on hand so you start the year with clean totals.
Go to PURCHASING > Inventory Reports > by Location
Select the previous crop year (ex. 2023) to pull up your Conservis Inventory
Now compare your prior year inventory by location to your actual inventory and if something doesn't match you can follow the instructions here for making any needed inventory adjustments.
Step 9: Confirm the Conservis Mobile App is up to date on each device
Check each mobile device to confirm they are all using the latest version of the Conservis - Row Crops app.
