VIDEO: Harvest Readiness Webinar from 2022 This webinar will guide you through the process of confirming you are ready for harvest with Conservis. Keep in mind when you see 2022 in this video, that refers to the current crop year at the time of recording, so you should use 2024!
Harvest Readiness Checklist:
The first step is to make any changes to harvest setup that need to be made. Did you hire (or fire) a team member? Is there new equipment? When is the last time your team logged into the mobile app? Below is a list of setup items to think about to be ready for Harvest.
Farm Setup Changes (Added or Inactivated)
Harvest Settings - Go to SETUP > Settings
Confirm the crop year is set to the year you are harvesting. There is a blue button that should say "Create records for the 2024 crop year." [typically you don't need to press this button unless you are a Harvest only customer. These records are usually created during production season.]
Update your Harvest start month if needed
Check your Ticket Link interval. This is the defined time period to make a connection between new and existing split tickets. [typical is 60-180 minutes]
Adjustment Matrix: review adjustment matrix
Crop Assignments by Field - Go to SETUP > Fields
Add any new fields you may have.
Make sure all your fields have the correct crop assigned. Click the "update" button to use the new Crop/Acre Tool to make changes to crops in bulk.
Confirm your crops have accurate start and end dates to capture all your data. - This is especially important if you double crop- you don't want your dates to overlap. It can also make a big difference if you are using John Deere Operations Center or Climate FieldView data, as you might miss some harvest tickets that are outside the date window.
Fix any mismatched crops
Plans can change and people make mistakes. So now is a great time to make sure the tickets on your fields match the crops you planted.
If you corrected mismatched crops during step 2, you should be done. But if not, you can do that now.
Go to PRODUCTION > Activities > All and press the Mismatched Crops button. [Filter for crop year 2024].
This will generate a list of any mismatched tickets with crop assignments. Edit the incorrect record [don't forget to press Save].
Update Team Members and Equipment that have changed
Add or deactivate equipment and team members that have changed for 2024.
Team members: Think about any changes to truck drivers, mobile app users, machine operators.
Equipment: Think about changes to bins, grain carts, semi-trucks.
To update go to SETUP and select Users, Equipment from the Setup Menu, depending on what needs to be updated.
Ownership Changes - Go to SETUP > Fields
For those who use Conservis to track ownership, make sure you have harvest ownership assigned to the right owners.
Go to HARVEST > SETUP > Owners to add or edit individual owners
Go to HARVEST > SETUP > Ownership to add or edit ownership entities
To make changes to what they own, go to SETUP > Fields. Once there, select the fields you want to update and click "Edit Fields". Then Select "Change Harvest Ownership" from the drop down options.
Customers and Delivery Locations -
Confirm your Customers and Delivery Locations are correct and complete.
Go to HARVEST > SETUP > Locations to update your locations
Go to HARVEST > SETUP > Customers to update your customer list.
Contracts - HARVEST > CONTRACTS & SETTLEMENT > Contracts
Have you entered all your existing grain contracts into Conservis? Go to HARVEST > CONTRACTS & SETTLEMENT > Contracts
Confirm the Conservis Mobile App is up to date on each device
Check each mobile device to confirm the latest version of the Conservis - Row Crops app is being used. Remember to check any tablets you keep in farm equipment and personal phones/tablets used by your team.
Bluetooth Adapters
If you are using Bluetooth Adapters to capture information, run a test ticket through and confirm it is working. [Remember to delete your test ticket afterwards!].
Click for Bluetooth Adapter Help (also available within the Conservis Row Crops App)
Contact Customer Success if you are setting up bluetooth adapters for the first time or need to make a change to your workflow from last year.
Other Harvest topics to keep in mind
Inventory Cleanup
Having an accurate starting Bin Inventory will save time later. To confirm your inventory go to HARVEST > REPORTS > Inventory and select "Bin Inventory Summary Report"
Confirm inventory by running the “Bin Inventory Summary Report”
Zero out bin Inventory or adjust to current inventory levels
Use Adjustment Tickets in the Harvest module if you need to correct inventory levels
Recording Weights
Where do you take weight? This will determine entering tickets and recording yields for your operation
Grain Cart
Truck Scale
3rd party (JD/Climate, Elevator Proof of Yields)
If you are new to Harvest with Conservis, or changing how you take weight, chat with Customer Success to make sure you are setup with a workflow that works best for you.
