Here's how you can use Conservis for Harvest if you measure weights both through Grain Cart Scales and Truck Scales

Utilizing Both Grain Cart Scales & Truck Scales

By keeping track of Grain Cart Scales and Truck Scales, you are required to make more tickets, but you get more data to compare Grain Cart scales against Truck scales.

iOS Users: will need to use the Legacy Harvest App from Conservis

Android Users will use the Conservis - Row Crops Mobile App

Grain Cart Ticket on the Conservis - Row Crops Mobile App

  • Open the Conservis - Row Crops App.

  • Make sure Harvest is selected (bottom right tab)

  • Click the + symbol to create a ticket

  • Select Cart Ticket.

  • Fill out all required fields:

    • If you have a Bluetooth adapter attached to your scale head, you should see a blue Bluetooth icon or the word Sync. Click the icon/Sync after you’ve emptied your load into the semi.

    • Click Field Complete if it’s the last load on the field.

    • Under Split Ticket, it’s very important to select whether this is the only grain cart load going into the semi (Full Truck), or if it’s the first load going into the semi, or an additional load.

  • Click Submit.

If you have any questions about your load, you can click on the icon in the top left and view "my activity" to view details. You can also enter this ticket or any other on the computer if you don’t enter it on the mobile device. HARVEST > TICKETS > Grain Cart.

Field To Storage Ticket on the Conservis - Row Crops Mobile App

Tip: If you’re using a Bluetooth adapter with your Truck Scale, we highly recommend you have a single device to create all tickets at your scale house. If you want your truck operators to make tickets on their personal devices, it’s going to work better not to use a Bluetooth adapter.

  • Open the Conservis - Row Crops App.

  • Make sure Harvest is selected (bottom right tab)

  • Click the + symbol to create a ticket

  • Click Field to Storage Ticket.

  • Fill out all required fields:

    • If you have a Bluetooth adapter attached to your scale head, you should see a blue Bluetooth icon. Click that icon to bring in the weight being registered on the scale. Depending on your load and unload process, the timing will differ. Work with your Customer Success Manager to work out the order.

    • Tip: If you know the unloaded weight of each Semi, you can leverage the Use Standard Weights setting under HARVEST > Setup > Settings for Field to Customer tickets. Once it’s checked in settings, you can go to your Harvest equipment and record a weight for each semi.

    • Fill out both the Dump Location (i.e. site) and Storage Bin.

    • Click Field Complete if it’s the last load from that field.

  • Click Submit.


Delivery Receipts when delivering straight to Customer- Using the Truck Icon

  • Have your stack of paper Delivery Receipts in front of you.

  • Navigate to Field to Customer Page at the computer: HARVEST > TICKETS > Field to Customer.

  • Using details like the Date/Time, Delivery location, Crop, and/or Receiving Operator, find the Field to Customer ticket that corresponds to the Delivery Receipt in front of you.

  • Click the Truck Icon on the left hand side of the ticket to begin the Delivery Receipt.

  • Fill in the Ticket number, Time of delivery, Customer, Moisture, and any other desired information.

  • Weight Boxes:

    • In the first box, you can either fill out gross and tare, or net. Either way, this should be the wet weight in pounds.

    • In the second box, fill out the saleable weight/bu (i.e. the pounds or bushels after moisture and other deductions have been removed). Leave blank to allow Conservis to make the calculation for you. Feel free to chat Customer Success to learn more about how we calculate moisture.

  • Click Create.

  • You’re now on the Delivery Receipt list page. To enter another Delivery Receipt, go back to the Field to Customer page to enter another.

This is one of the quickest ways to enter Delivery Receipts and ensure all loads were entered correctly. However, there are other ways to enter Delivery Receipts too:

  • Enter them entirely by hand, rather than using the Truck Icon.

  • Create them on the mobile device (by a truck driver).

  • Use an electronic Delivery Receipt process to import them from a spreadsheet, if your elevator has that capability.

With each of these solutions, the system will do its best to automatically match the Delivery receipt to the best Field to Customer ticket it can find, usually with 90-95% accuracy. There may still be some work required to match Delivery Receipts and Field to Customer tickets to one other.


Adding Storage to Customer and Delivery Receipts

Once you begin delivering from storage, you may end up switching to a different process. There are multiple ways to add Storage to Customer tickets and Delivery Receipts and ultimately, it comes down to who you want to make these tickets, and when.

  • If you want to make it easy for truck drivers, you could have someone in the back office enter both the Storage to Customer and Delivery Receipt at the same time. This is detailed below and is most common.

  • If you don’t have a back office worker, you could have your truck drivers enter both Storage to Customer and Delivery Receipt on the mobile device after they’ve received the paper ticket from the elevator.

  • For tracking load history and travel efficiency you could have your scalehouse operator (or truck drivers) make the Storage to Customer ticket at the bin site, and then later use the Truck Icon to enter the Delivery Receipts in the back office (see the process for Field to Customer tickets in the Grain Cart Workflow above).

Your Customer Success Manager should help you pick out the best process based on how you normally handle Harvest. If you have questions, reach out.

Entering Storage to Customer/Delivery Receipts in the back office together

  • Have your paper Delivery Receipts in front of you, as you’ll use the info from the elevator’s sheets to fill this out.

  • Go to list of Storage to Customer tickets at your computer: HARVEST > TICKETS > Storage to Customer.

  • Click New Storage to Customer.

  • Fill out the Storage source. If needed, you can add multiple bins and select the percentage from each that contributed to the load.

  • Fill out all required fields.

    • Customer is not required. If you choose to include, you can fill out the Contract that this load will be applied to. This does not take the place of the Settlement, but instead this will increase the Estimated settlement amount in the Estimated Contract Delivery Reports.

    • Feel free to put the elevator’s ticket number as the Storage to Customer ticket number, however, you’ll want to add it again lower on the page as the ticket number for the Delivery Receipt as well.

    • Bill of Lading and other grading elements besides moisture, are optional.

  • Below the Notes field, the checkbox Create Delivery Receipt should be checked automatically. If it isn’t, check the box (and talk to your Customer Success Manager to make sure they update your settings).

  • Fill out the information for the Delivery Receipt. Use the same info you did on the Storage to Customer.

  • The Ownership presented on the ticket is a proportional cross-section of the ownership of the grain in the bin. If this load is for one specific customer, delete out any extraneous owners and list that owner at 100%.

  • Click Create (or Create+ if you have more tickets to add).
