Only Utilizing Grain Cart Scales for Weights

Taking weight through Grain Cart Scales - what you need to know

If you use grain cart scales for taking weight and don't capture weight anywhere else, then your Customer Success Manager will setup that workflow behind the scenes for your operation. When that is your workflow, here's what happens.

Using the Mobile app (or machine integration), farm operators will create grain cart tickets when the crop leaves the field.

Behind the scenes, Conservis will automate creating Field to Storage and Field to Customer tickets using a process we call a "baton pass".

Then when it is time to deliver grain to customers, the farm team members enter the delivery receipt in the back office (from a desktop or laptop computer) to track delivery to the customer.

Adding a Grain Cart Ticket on the Harvest Mobile App

  1. Open the Conservis - Row Crops App.

  2. Select Harvest on the bottom right of the screen.

  3. Click the + symbol to create a new ticket

  4. iOS select "Transport Ticket" Android select "Cart to Storage" or "Cart to Customer" ticket depending on where the grain is going

  5. Fill out all required fields.

    • If you have a Bluetooth adapter attached to your scale head, you should see a (blue-colored) Bluetooth icon - toggle that on after you’ve emptied your load into the semi.

    • Make sure to include the Delivery Location information - this should include both storage and customer locations.

    • Click Field Complete if it’s the last load on the field.

  6. Click Submit.

If you have any questions about your load, you can click on the face icon in the top left hand corner and go to "my activity" to look at the details of your load. You can also enter this ticket or any other on the computer if you don’t enter it on the mobile device. (Harvest > Grain Tickets > Grain Cart)

Adding Delivery Receipts when skipping storage and delivering straight to the Customer - Using the Truck Icon

  1. Have your stack of paper Delivery Receipts in front of you.

  2. In Conservis, navigate to HARVEST > TICKETS > Field to Customer.

  3. Using details like the Date/Time, Delivery location, Crop, and/or Receiving Operator, find the Field to Customer ticket that corresponds to the Delivery Receipt in front of you.

  4. Click the Truck Icon on the left-hand side of the ticket to begin the Delivery Receipt.

  5. Fill in the Ticket number, Time of delivery, Customer, Moisture, and any other desired information.

  6. Weight Boxes:

    • In the first, you can either fill out gross and tare or net, but either way this weight should be the wet weight in pounds.

    • In the second box, fill out the saleable weight/bu (i.e. the pounds or bushels after moisture and other deductions have been removed). Leave blank to allow Conservis to make the calculation for you. Feel free to call your Customer Success Manager to learn more about how we calculate moisture.

  7. Click Create.

  8. You’re now on the Delivery Receipt list page. To enter another Delivery Receipt, go back to the Field to Customer page to enter another.

This is one of the quickest ways to enter Delivery Receipts and ensure all loads were entered correctly. However, there are many other ways to enter Delivery Receipts as well:

  • Enter them entirely by hand, rather than using the Truck Icon.

  • Create them on the mobile device (by a truck driver).

  • Use an electronic Delivery Receipt process to import them from a spreadsheet, assuming your elevator has that capability.

With each of these solutions, the system will do its best to automatically match the Delivery Receipt to the best Field to Customer ticket it can find with about 90-95% accuracy. There may be some work required of matching Delivery Receipts and Field to Customer tickets to one other.

Entering Storage to Customer/Delivery Receipts - after the busiest part of the season is done, and you’re done delivering loads straight to the customer, you’ll switch your process slightly when entering loads that came from your storage sites.

  1. Have your paper Delivery Receipts in front of you, as you’ll use the info from the elevator’s sheets to fill this out.

  2. Go to list of Storage to Customer tickets at the computer: HARVEST > TICKETS > Storage to Customer.

  3. Click New Storage to Customer

  4. Fill out the Storage source. If needed, you can add multiple bins and select the percentage from each that contributed to the load.

  5. Fill out all required fields.

    • Customer is not required - if you do choose the customer, you can fill out the Contract that this load will be applied to. This does not take the place of the Settlement, but instead this will increase the Estimated Settlement Amount in the Estimated Contract Delivery Reports.

    • Feel free to put the elevator’s ticket number as the Storage to Customer ticket number, however, you’ll want to add it again lower on the page as the ticket number for the Delivery Receipt as well.

    • Bill of Lading and other grading elements besides moisture are optional.

  6. Below the Notes field, the checkbox Create Delivery Receipt should be checked automatically. If it isn’t, check the box (and ask your Customer Success Manager to update your settings for the future so this box is checked automatically).

  7. Fill out the information for the Delivery Receipt. Use the same info you did on the Storage to Customer.

  8. The Ownership presented on the ticket is a proportional cross-section of the ownership of the grain in the bin. If this load is for one specific customer, delete out any extraneous owners and list that owner at 100%.

  9. Click Create (or Create+ if you have more tickets to add).
