Utilizing Truck Scales for Weights

When truck scales are the only way you take weight during harvest

If you don’t have Grain Cart scales, then you won't need to generate grain cart tickets. Your Customer Success Onboarding Manager will setup this workflow for your farm behind the scenes to make Harvest smoother. If you will be changing processes, reach out to Customer Success so your workflow can be adjusted.

In this workflow, truck drivers with handheld access will create Field to Storage tickets on a mobile device at the scale house. Then when the grain gets delivered to the customer, most operations add these tickets from the back office when they enter the delivery receipts into Conservis. We'll describe a few other options as well down in the instructions below.

Field To Storage/Customer Tickets on Conservis - Row Crops Mobile App

iOS Devices

  • Open the Conservis - Row Crops Mobile App.

  • Click the plus sign in the lower right hand corner

  • Click Transport Ticket.

  • Select the Origin

    • either truck (from field)

  • Fill out all required fields:

    • Fill in a weight.

    • Fill out destination.

    • Click Field Complete if it’s the last load from that field.

    • Check Field Ownership Override if the load’s ownership is different from the normal ownership on the field. For instance, a field may have a 50% split between two entities, but this load may belong 100% to one owner. Check the box to review the load’s default ownership.

  • If delivery to customer, user has option to attach Delivery Receipt to FC ticket.

    • Click Delivery Receipt

    • Toggle on "Attach Delivery Receipt"

    • Fill out required information

    • *This is attach a DR to the FC ticket the user is creating for the load

  • Click Submit.

Android Devices

  • Open the Conservis - Row Crops Mobile App.

  • Click the plus sign in the lower right hand corner

  • Click Field to Storage or Field to Customer ticket.

    • Dependent on where the load is going

  • Fill out all required fields:

    • Fill in a weight.

    • Fill out the Destination

    • Click Field Complete if it’s the last load from that field.

    • Check Field Ownership Override if the load’s ownership is different from the normal ownership on the field. For instance, a field may have a 50% split between two entities, but this load may belong 100% to one owner. Check the box to review the load’s default ownership.

  • If delivery to customer, user has option to attach Delivery Receipt to FC ticket.

    • Click Delivery Receipt

    • Toggle on "Attach Delivery Receipt"

    • Fill out required information

    • *This is attach a DR to the FC ticket the user is creating for the load

  • Click Submit.


Tip: If you’re using a Bluetooth adapter with your Truck Scale, we highly recommend you have a single device at your scale house make all the tickets. If you want your truck operators to make tickets on their personal devices, it’s going to work better not to use a Bluetooth adapter.


Adding Field to Customer, Storage to Customer & Delivery Receipts

There are multiple ways to add Field to Customer and Storage to Customer tickets, along with Delivery Receipts. Ultimately, it comes down to who you want to make these tickets, and when.

  • If you want to make it easy for truck drivers, you could have someone in the back office enter both the FC/SC tickets and Delivery Receipt at the same time. This is detailed below, and is most common.

  • If you don’t have a back-office worker, you could have your truck drivers enter both SC/FC tickets and Delivery Receipt on the mobile device after they’ve received the paper ticket from the elevator.

  • For tracking load history and travel efficiency you could have your scale house operator (or truck drivers) make the FC/SC ticket at the field or the bin site, and then later use the Truck Icon to enter the Delivery Receipts in the back office (see the process for Field to Customer tickets in the Grain Cart Workflow above).

Entering Field to Customer (or Storage to Customer) with Delivery Receipts

  • Have your paper Delivery Receipts in front of you, as you’ll use the info from the elevator’s sheets to fill this out.

  • Go to list of Storage to Customer tickets at the computer. HARVEST > TICKETS > Storage to Customer or Field to Customer tickets.

  • Click New Storage to Customer or New Field to Customer.

  • Fill out all required fields.

    • Customer is not required. If you choose to add the Customer, you can fill out the Contract that this load will be applied to. This does not take the place of the Settlement, but instead this will increase the Estimated settlement amount in the Estimated Contract Delivery Reports.

    • Feel free to put the elevator’s ticket number as the ticket number at the top of the page, however, you’ll want to add it again lower on the page as the ticket number for the Delivery Receipt as well.

    • Bill of Lading is optional.

  • Below the Notes field, the checkbox Create Delivery Receipt should be checked automatically. If it isn’t, check the box (and chat with Customer Success to make sure they update your settings).

  • Fill out the information for the Delivery Receipt. Use the same info you did on Storage to Customer.

  • The Ownership presented on the ticket is a proportional cross-section of the ownership of the grain in the bin. If this load is for one specific customer, delete out any extraneous owners and list that owner at 100%.

  • Click Create (or Create+ if you have more tickets to add).
